5,000 Private Label Camping Sets
Delivered in Two Months
From supplier selection and sample improvements to production inspection and rail transport, we helped a European client balance product quality and delivery time, ensuring the order arrived in time for the summer sales season.
Custom Camping Table and Chair Order Overview
At the end of February, a European camping e-commerce brand contacted us to source 5,000 sets of private-label camping tables and chairs from China, including HDPE folding tables and foldable beach chairs.
The client provided reference images and wanted to customize the colors, logo, and packaging of existing products.
This was their first time sourcing from China. To catch the summer sales season in Europe, the goods had to arrive before May. From finding suppliers and approving samples to production, inspection, and shipping, we had only about two months to complete the project.

Quotations and Product Selection:
After receiving the request, we contacted 15 suppliers within two days, obtained 12 quotations, and compared samples from 12 suppliers.
From the photos and quotations alone, the products looked very similar. However, once we compared the actual samples side by side, the differences in workmanship became clear.
For the HDPE folding tables, we focused on tabletop thickness, product weight, frame structure, leg stability, folding locks, and surface finish.
For the beach chairs, we checked the tube material and wall thickness, frame stability, fabric-to-frame connections, stitching at stress points, and folded size.
After measuring and comparing the samples, we found that some lower-priced tables had thinner tabletops and were lighter in weight. Some beach chairs also failed to meet the client’s structural and load-bearing requirements due to their tube thickness and connection methods.
Therefore, we did not choose the lowest-priced supplier. Instead, we selected a factory that best met the client’s needs based on product quality, price, customization capability, and production schedule.
Sample Stage: Three Issues Found in the First Samples
After the factory completed the first customized samples, we found three issues during inspection:
- The folding table legs were noticeably unstable.
- The beach chair fabric color did not match the approved color.
- The logo was slightly misaligned.
The unstable table legs would directly affect the user experience and could indicate problems with the structure, connectors, or assembly. If this was not resolved at the sample stage, reworking 5,000 sets during mass production could disrupt the schedule and delay delivery.
Although the color difference and misaligned logo did not affect functionality, they could directly impact product images, brand presentation, and the customer experience.
We shared the sample results with the client and asked the factory to inspect its equipment and assembly process, adjust the fabric color, and correct the logo position.
Only after the revised samples passed inspection and met the contract requirements for stability, color, and logo placement did we approve mass production.

Packaging Optimization
The client’s original packaging plan was to pack 6 individual branded cartons into one master carton.
Because of the long shipping distance and repeated handling, the master carton could become deformed and the inner cartons could be crushed. We recommended adding corner protectors to reinforce the areas most likely to be impacted.
This adjustment did not change the original branded packaging design, but helped reduce the risk of product and packaging damage during transportation.
During Production Inspection
The original production lead time was 30 days.
If we waited until all 5,000 sets were completed, any batch issues involving stability, color, logo, stitching, or packaging could require rework, delay shipping, and even cause the client to miss the peak sales season.
We therefore arranged an inspection during production, focusing on:
- Table legs and folding mechanisms
- Connections between chair frames and seats
- Fabric color consistency
- Logo placement and appearance
- Product appearance and inner and outer packaging
No issues requiring production to stop or large-scale rework were found. Meanwhile, we continued monitoring the materials, production, and packaging progress.
The factory completed the full order in 24 days—six days ahead of the original 30-day schedule.

Balancing Time and Cost with Rail Transport
After production was completed, standard sea freight could no longer meet the delivery deadline before May, while airfreighting all 5,000 sets would have been too expensive.
After comparing transit times and costs, we agreed with the client to use rail transport.
The goods arrived at the client’s location in late April, in time for the European summer sales season.
The client was very satisfied with the quality and later requested a quotation for camping tents. The tents have now been delivered, and both models are selling well. We have already received a repeat order.
Project Summary
Looking back, the real challenge was not simply sourcing 5,000 sets of camping tables and chairs. It was identifying differences in materials, structure, stability, and workmanship between products that looked similar.
From supplier selection, sample inspection, and corrections to production follow-up, quality control, and shipping arrangements, our role was to identify and resolve risks at every stage from the perspective of the client and the end user.
With a tight deadline, the earlier a problem is identified, the lower the cost of solving it—and the greater the chance of on-time delivery.
